How to eliminate Spam Emails?



CONTENT FILTERING

​To Create Content Filtering Rules In Smartermail (To filter email from certain email address)
While content filters are most commonly used to organize email by moving messages to specific folders (Junk Email folder or Deleted Items folder etc.), they're extremely flexible and allows you to filter messages the way you want to.



Please login to http://mail.yourdomain.com using your email ID and password.

1. Click on "Settings" > Content Filtering. Click on New button to create new Content Filtering rule.

2. At “General” tab, Name this rule eg. “Unsubscribe”, Match Type select “All conditions must be met”.

​3. At “Conditions” tab, Click Add “New Condition”, Select Rule Type

​4. You may select “From Address (Email), Contains specific words or phrases, To Address or Attachments”

5. Next at Actions tab, click add “New Action”

6. You may select Actions of “Reroute Message, Bounce Message, Move Message, Add Header or Add Text To Subject”
7. We show you sample rule on “Unsubscribe from Newsletter”, to “Move Message” to “Junk Email”.

​8. Don’t forget to click “Save”.

​9. The new filtering rule has been created. Done.

** After filtering rule created, It's possible to run a content filter on a "specific folder" (Inbox folder or Junk Email folder etc.) simply by right-clicking on the folder name and selecting Run Content Filter from the context menu that appears.
BLOCKED SENDERS

How To Block/Unblock Spam Email From Sender


Users can add specific accounts to their Blocked Senders list. For example, if you receive a message from [email protected], you can left click on the email address in the message view and select "Block Sender" from the context menu. When you do this, that message, and any future message from that specific sender, will have whatever Action is set on the Blocked Senders card applied. This allows users to have a bit more granular control over senders that escape whatever spam filtering the system administrator has set up. NOTE: Any Action set on the Blocked Senders card are applied just for the user who sets them.


  1. Go to “Inbox”
  2. Select the Email Message, right click OR click the “3 dots” at top right tab
  3. At pull down menu select “Block Sender”, Done.

4. To “Unblock” Sender, go “settngs” gear on top, select "Spam Filtering" at left panel.
5. At below “Blocked Senders”, click the “Pencil” icon to edit

​6. Remove the email address from “Blocked Senders” list, click "OK", Done.
TRUSTED SENDERS

Users can add specific email addresses (such as [email protected]) or domains (such as example.com) that will be exempted from spam filtering. This lets the system know that these messages come from a trusted source and can prevent mail from friends, business associates and mailing lists from being blocked or sent to the Junk Email folder. By default, every contact in a user's Contacts list is considered a trusted sender and bypasses spam filtering.
